When Does the Software Vendor Matter?

Recently I wrote a post discussing the importance of the selecting an implementation Partner in the success of a Content Management project. I even went a little off of the proverbial deep end by stating:

Software is Secondary

For the first project, assuming you pick a vendor doesn’t significantly mislead you, success isn’t going to be defined by the product you select.

For someone who works at Alfresco, a Content Management vendor, this seems a little crazy even if it is true. The key words in that statement are “first project”. The reality is that the Content Management System (CMS) you select is going to have a much longer life than the time it takes to implement your first project.

Selecting Software and an Implementation Partner

When I was in the UK last week, I availed myself of the opportunity to catch-up with some friends in the industry. There were both product and delivery people in the crowd and we had a good time.

At some point, we hit the topic of Partners delivering software and how organizations should go about the process. We agreed on the right ways to use Partners and promptly celebrated with another round. As a rule of thumb, when that crowd agrees as a group, it is usually accepted knowledge. Even so, we all could readily recall multiple stories of people doing it poorly.

What Constitutes Industry Leadership?

File:Aston Martin DBS V12 coupé (front left) b-w.jpgOne of the debates that I have often had with other Information Professionals is the question, Who are the “Leaders” in our industry? This was always up for a good debate because we could never agree on the basic ground rules:

  • What role does the technology play?
  • Do you measure by sales or install base?
  • Do we care what Gartner, Forrester, or others say on the topic?
  • What players are even in our industry?

With all these open questions, it is a debate that usually lasts until someone gets fed up and forces a topic change upon the group by asking, Who is buying the next round?

This is a question that is important for me to address and I thought I would open it up for discussion.

Services, The Open Source Hedge Against the Cloud

I’ve spent a lot of time talking about how the traditional vendors are being disrupted and are going to face an increasing number of challenges from the new cloud vendors. I want to take a minute to talk about why the Open Source vendors, like Alfresco and Nuxeo, are likely to not be disrupted.

Don’t get me wrong, the question of usability that hurt the likes of EMC, IBM, and Oracle still applies to the Open Source vendors. The key difference is that usability is the open door, not the actual disruption.

Addressing Denials by an ECM Disruptee

Lane Severson posted a rebuttal to my statement that Information Management has Failed. My first thought is that he doesn’t see it. That was also my second thought. Then I remembered a truth about disruptions that I shared on Twitter the other day,

The very nature of Disruptions is that those being disrupted live in denial until it is too late.

Lane is caught in the disruption. He works for Doculabs who makes money by being good at helping customers select and implement traditional Content Management systems. A shift to the cloud means a change to the expertise they deliver.

Still, Lane is pretty smart and his points deserved to be addressed.

Box Isn’t Disrupting Because of the Cloud

I recently realized this truth which seems both contradictory and obvious at the same time. Box and the other cloud vendors aren’t disrupting the industry because they are Cloud/Software-as-a-Service(SaaS) vendors, they are disrupting it because they put people ahead of the Enterprise.

Think on it a minute. I talked about this in my AIIM keynote but I didn’t link it all together. SaaS may be the disruptive technology but it is the ease-of-use built into the applications themselves that is giving them market share.

Looking at the Legacy Content Management Vendors

In my predictions for 2013, I made the following prediction on the future of the traditional “leaders” in the Content Management space.

First Major On-Premises Traditional ECM Vendor will become Obsolete: I know, obvious right? Statistically speaking, one of those vendors will likely still be a market leader in 10 years. In 2013, we’ll see our next elimination for that spot (though they will be in denial). To make this easier to measure, I’ll name the contenders: EMC, IBM, Open Text, and Oracle. Microsoft falls into this category but it won’t be them, at least not in 2013.

Aside from simple statistical probability, I saw a few things this fall that led to this prediction.

  1. Talked to people attending the IBM Information OnDemand while I was in Las Vegas.
  2. Attended the Open Text conference in Orlando.
  3. Watched the news out of Momentum Europe.
  4. Kept my eyes open.

What I’ve seen is a scary amount of consistency among the players.

Checking the Industry Trends

I was playing with Google Trends the other day. I was curious what terms people were searching for on Google and how they related to the terms we seem to throw around the industry. This particular bout of curiosity stemmed from distinguishing between the technology and the business problems that people are trying to solve.

The first search was a set of standard terms we use when we talk about what we do on a regular basis.

  • Content Management, 1.00
  • Information Management, 1.52
  • Records Management, 0.32
  • ECM, 1.26 (Enterprise Content Management got 0.02)

It is a pretty consistent downward trend across the board. We can hypothesize as to why they are trending down, but I suspect it relates to the saturation of the term among those in the technology industry.

Cloud May be Easier but Do Your Homework

imageAt this point, just about everyone acknowledges that the simplified, cloud-based Content solutions like Box and Syncplicity are here to stay. There is a place for them in the Enterprise world and that place will grow as their capabilities grow.

What I’ve been hearing and seeing is a repeat of what I’d like to call the SharePoint Experience. People would just role SharePoint out because it was easy and expect everything to work. As we all now know, that wasn’t always the case.

Content Management, when done in a way to do more than just replace a file share, requires planning. It requires Change Management aspects to be considered. The impact to the business processes needs to be planned. Old content has to be migrated.

imageWhen SharePoint hit it big, this didn’t happen. Technicians just implemented it without considering the need to understand Content Management. Now, it is a different story.

As these new offerings are purchased and deployed, I’m seeing a lot of the same things. Instead of IT, the business users are leading the efforts. Sure, they don’t need to create an architecture or determine what customizations are needed, but they still need to plan.

  • How are we organizing content? Are we going to rely on tagging? Do we need to establish a simple Taxonomy?
  • What are we going to do about existing Content? Do we migrate or leave it as is? Are we bringing any structures from the old system over?
  • How do we integrate our business processes?
  • Speaking of integration, what about our other business systems?
  • How are we providing documentation, training, and support to our users?

These are common issues in Content Management and with a cloud-based system they may be simpler questions to answer.

The key to answering these questions is knowing that they need to be asked before the project starts.

Checklists of things to do aren’t going away, they are just getting shorter. They are becoming simplified but still require knowledgeable Information Professionals to lead the effort.

The goal of these cloud-based Content Management solutions is to take the simplicity of file sharing and add the functionality of Content Management. We all need to make sure that the result of this combination is the best of both worlds and not the worst.
